POSITION Administrative Support

NATURE OF WORK:
Perform a variety of office support in the areas of resource management, administrative and secretarial duties for the company(s).

KNOWLEDGE, SKILLS, AND ABILITIES:
Customer Care & Relationships: Creates, develops, and promotes appropriate interactions and connections with clients, colleagues, and the community by providing exceptional customer service. Welcomes clients, both existing and prospective, to the company in a friendly, professional and courteous manner. Answers phones and directs calls to appropriate staff member. Takes and delivers messages as required. Personally responds to non-technical questions regarding various departments. Assists customers by providing accurate information that meets the customers’ needs the first time. Works with customers in a positive and courteous manner to establish and maintain effective working relationships. Maintains quality and safety standards. Adheres to the Privacy Act of 1974, as well as corporate policy to maintain and safeguard confidentially of client and personal records.  Refers to policies and procedures necessary for preparing records, documentation and mandated reports for department functions.

Communications & Teamwork: Shares and receives information, opinions, concerns, and feedback in a supportive manner. Works collaboratively with team members within departments and across the organization. Works as an active participant in a team environment. Communicates effectively orally and in writing.

Improvement & Innovation: With Supervisor, makes meaningful improvement to services, program, and processes and/or organizational effectiveness that creates new value for clients and employees. Manages projects as assigned. Completes projects as outlined by the supervisor(s) in a timely and accurate manner. Researches information needed to complete projects. Makes suggestions for strategies that would improve the administrative processes within the company.

Workforce Development Skills & Abilities: Seeks out additional learning opportunities to continue to develop the technical and professional skills needed now and in the future. Takes responsibility for all work activities and personal actions by following through on commitments. Completes administrative duties. Completes a variety of computer based tasks related to documentation in the appropriate format. Examples include but are not limited to: typing correspondence, memos and reports; registration; creating additional document formats as assigned. Obtains and documents all necessary information required to provide services needed. Acts as a resource and trains others. Assists Supervisor in arranging meetings and events as directed. Duties include but are not limited to: securing location, arranging equipment and necessary supplies, notifying participants. Provides administrative systems management for department. Establishes and maintains an authorized system of administrative files; develops and monitors a system to track the status of various actions and correspondence. Creates and maintains electronic database records as required. Schedules appointments and meetings per established guidelines. Completes administrative timekeeping, expense and other appropriate administrative functions. Maintains electronic telephone and e-mail directories for the department. Gathers information and creates reports as needed. Coordinates a wide variety of administrative duties within the company as assigned. Operates office equipment. Uses a computer. Applies administrative skills. Uses computerized word processing, spreadsheet and/or database software. Accomplishes a variety of concurrent tasks on a day-to-day basis and makes appropriate decisions in performing duties independently to meet the needs and goals of the department. Completes tasks in a timely, organized and professional manner ensuring adequate follow-up. Gathers and analyzes data in a statistical format. Manages multiple priorities and tasks concurrently and while meeting deadlines.

QUALIFICATIONS:
High school diploma or GED. Preferred experience of 1 year in a front office environment.  Additional languages also preferred.
